*PROCEDURE

Eligibility*

Associates are eligible to apply for an open position if they are:

  3. No written warning or Performance Improvement Plan (PIP) within the last six months unless their manager receives approval from HR; and

_Position Summary_

Performs reception responsibilities including answering phones, receiving visitors, directing requests for information, scheduling patient appointments and answering routine operational questions. Responsible for accurate data entry of patient demographics, diagnoses, and disability status.

Is trained to work at any South State clinic. Provides ongoing training for new front office staff after initial training. Ability to handle more complex issues at front desk. Has excellent customer service skills and consistently maintains a high level of professionalism.

  • 1-year related work experience

_Position Duties (essential functions denoted with an * )_

  • Greets patients as they arrive. Ensures patient completes appropriate registration information and reads /signs all appropriate paperwork.*

  • Verifies the procedures are required for the patient according to protocols reflected by the data base. Obtains proper authorization for treatment.*

  • Schedules patient in a timely manner according to department policy / procedures.*

  • Ensures patient charts are pulled and all appropriate information attached. Notifies appropriate health care staff when patient has arrived and paperwork is ready.*

  • Regularly interfaces with staff, insurance carriers and/or employers to clarify issues related to scheduled appointments, “no shows”, opening or closing of claims and access to confidential medical records.*

  • Cross-trains other receptionists to help provide coverage during scheduled or unscheduled absences.*

  • Prepares medical records by entering all patient demographics. Establishes a new case and updates demographics on return patients paying strict attention to selecting the proper case for every visit. Prints appropriate paperwork and labels as necessary for each visit for each patient.*

  • On patient checkout reschedules patient according to health care provider direction, and gives patient appropriate paperwork.*

  • Maintains patient records. Coordinates records with the Medical Records department.*

  • Answers telephone within three rings in a courteous and professional manner, taking messages when necessary or referring caller to appropriate individuals for response.*

  • Responds to employer, insurance carrier and/or patient concerns to the best of knowledge but without furnishing medical advice.*

  • Schedules appointments according to department policy / procedure; assures sufficient time for patient preparation prior to the exam.*

  • Promotes a positive and constructive work environment with co-workers, supervisors and customers.*

  • Effectively manages own work time. Assists others to support department tasks and projects.*

  • Uses knowledge and understanding of department operations to enhance services provided by making positive recommendations for improvement.

  • Meets acceptable standards of personal appearance.

  • Adheres to attendance policy.

  • Adheres to organizational and departmental policies and procedures.

  • Effectively handles the more complex situations at the front desk. Knows when to solicit help from Office Coordinator or Manager.

  • Mentors new staff and provides ongoing training.*

  • Assists with the development and / or revision of front desk policies and procedures.*

  • Covers vacations, illnesses and vacant front desk positions at any south state clinic.*

_Physical Requirements_

  • Sedentary Work - prolonged periods of sitting and exert/lift up to 10 lbs. force occasionally
